Make the numbers useful.

Reporting starts with a decision. Decide what your team needs to understand, then bring the relevant information together in a format they can use.

THE USEFUL IDEA

A useful report shows where its numbers came from, when they were updated and what needs attention.

Choose the questions first

Bring CRM, analytics, marketing, finance and support information together around the questions your team needs to answer. We start with the relevant sources and confirm access and integration support during scoping.

Agree the metric definitions before comparing results. A lead, a qualified opportunity and a paying customer describe different things. Put the reporting period and source next to the number so readers can interpret it.

Choose a useful rhythm

A recurring digest can summarise the agreed indicators, explain changes and flag items for review. A dashboard gives people a place to investigate. The right combination depends on who needs the information and how often it changes.

Agree whether reports should arrive on a schedule, be available on demand or flag a defined threshold. Set the destination, timing and alert rules around how your team will use the information.

Keep context with the conclusion

A change in a chart is a prompt to investigate. Record what is observed separately from a possible explanation, and let people follow the result back to the source. Missing or delayed information should remain visible.

A sensible first report has a small set of useful measures, named owners and an agreed review rhythm. Expand it when the team knows which questions the first version answers well.

  • Agreed data sources and metric definitions
  • Recurring summaries and a shared reporting view
  • Thresholds, exceptions and human review

A fictional report entry

Question: where are enquiries waiting? Source: a fictional enquiry register for 1–7 October. Observation: three requests have no assigned owner. Open question: were they handled somewhere else? Next action: the team lead checks those three records before changing the routing.

This entry separates the source, observation, uncertainty and decision. The same structure can make a short report more useful than a page of unexplained numbers.
